Software Applications
Software applications are programs available in office computers. They perform a variety of important functions for the medical office. Application software falls into the following areas:
- Word processing software is used to write doctors’ notes, reports, transcripts, memos, and letters. When you need to write any type of correspondence, it has to be proofread before it is sent out. Using proofreader’s marks on the document to correct errors will ensure that the corrections are made accurately.
- Graphics software produces information using pictures. It can also be used to input illustrations or photos into medical reports or documents.
- Most offices use medical office database software that provides templates for a variety of office-related activities. Databases may include progress notes, health histories, laboratory information, and medication lists for patients. Databases not only store information but many also allow the user to sort and aggregate patient information for management purposes.
- A spreadsheet is a worksheet that performs numeric calculations on data that is entered in the worksheet. Spreadsheets are used in budgeting, financial reporting, and invoicing.
- Presentation software assists in designing the layout and content for presentations, lectures, and staff training materials.
- A utility helps maintain the function of a computer system. An example of utility software is antivirus software.
- Communication software is used to communicate to others in the medical office or in the health care system. Communications applications include email and Web browsers.
