Employees are reminded that in case of a medical, fire, or safety emergency it is company policy that the first call for help be made to the Security Office at extension 9111.

Remember that the Security Office is the closest source of help for any point on company property. The office is prepared to coordinate with outside responders, assisting them on arrival.

If a call is made directly from an office telephone or cell phone to local ambulance, police, or fire departments please follow up with a call to our Security Office so that they can assist.

Notification of fire and evacuation drill

All employees are advised that there will be a mandatory fire and emergency drill at the Lumbertown headquarters on Wednesday, March 14, at 11:30 A.M. The drill will be announced over the office-wide intercom and will also interrupt all computer and telephone equipment with an announcement.

Please do not schedule any appointments or meetings for that time; the drill is expected to last about thirty minutes.

Please review the employee manual’s section about procedures for evacuation of the building. All designated safety monitors are expected to be at their stations to assist.

The purpose of the meeting is to solicit input from all departments in the preparation of a comprehensive disaster preparedness manual for the company. We will cover plans to deal with fire, floods, earthquake, severe storms, and damage caused by electrical outages and breakdown of air conditioning, heating, and communications networks.

Request for appointment of departmental captains for disaster preparedness

The Security Office asks each department head to designate two departmental captains to receive special training on disaster preparedness.

We are asking this as one of the results of the November 1 planning session.

Departmental captains will be asked to represent their office in all future meetings on disaster preparedness and to inform coworkers about any special planning necessary for specific operations with which they are involved.

We ask that where possible the departmental captains do not share the same or substantially similar job descriptions.

The Security Office asks each department head to designate two representatives to attend a sixtyminute briefing on office safety to be held Thursday, September 15, at 1 P.M. in Conference Room A.

The session will include discussion of updates to the company’s “Eyes and Ears” campaign that is intended to extend observation of visitors to headquarters. Each attendee will be asked to conduct an informal briefing in their own department.

Escorts offered to parking lot after hours

Any employee may request an escort from the main lobby to their car in the company parking lot at any time by calling the Security Office assistance line at extension 7676. Staffers who arrive at the parking lot and seek an escort to the lobby may call the assistance line after they pass through the passkey gate.

All staffers are required to swipe their ID card in the computer readers at any entrance to the building.

In addition, any staffer who enters the office before or after ordinary office hours (8 A.M. to 6:30 P.M.) is required to log in with the security officer on duty when they arrive.

For staffers who are at work between 5:30 P.M. and 6 A.M., the Security Office will accept deliveries of food; please call the security desk at extension 9112 to advise them of an expected delivery. When the food is delivered, you will be called and asked to pick up the package.

Policy on ID cards

Every employee of Consolidated Intergalactic is required to display his or her company ID card at all times while on company property; the card can be worn on a lanyard around the neck or clipped to a shirt pocket. The card must be swiped through the security gate when you arrive and leave.

Policy on renewal of ID cards

Every employee must turn in their current ID card and obtain a new one during the month of January. After February 1, current ID cards will no longer be accepted at entrances to the building.

The new ID cards will include an advanced printed barcode as well as a magnetic stripe to identify employees. Security staff will be able to visually check the card and view an electronic image on monitors at all entrances.

For your protection, your ID card remains the property of Consolidated Intergalactic at all times. If it is lost, stolen, or damaged you must notify the Security Office immediately; failure to do so may be considered grounds for immediate termination.

Policy on keys and passcards

Any employee who is issued a special key or passcard to enter storage areas, warehouses, or other secure locations is responsible for maintaining possession. If the key is lost or stolen, the Security Office must be notified immediately.

In the instance of passcards, the electronic coding can be changed by computer from the Security Office. Lost keys require changing of locks.

In no instance is an employee to lend a key or passcard to another person.

If an employee realizes a key or passcard is missing from their possession, they must immediately notify the Security Office. The hotline is open twenty-four hours a day, every day, at extension 9111.

Requirement of sign-in of guests

Any invited guest or business visitor must sign in at the security desk at the main entrance and receive a temporary badge which must be returned when they leave the building. Visitors must be escorted at all times by an employee of the company.

To avoid inconveniencing your guest, please arrange for someone to monitor your telephone if you are away from your desk at the time of your guest’s expected arrival.

How to notify security of accidental alarms

If you accidentally set off a security alarm at an exit door or elevator, please immediately notify the Security Office at extension 9111. Be prepared to identify yourself by name and employee ID number; an officer will respond to reset the alarm and log the details of the incident.

Required notification of incidents in the office

Immediately notify the Security Office, at extension 9111, of any actual or potential physical altercation in the workplace. Describe the incident and let the officer decide whether outside assistance is required.

Please do not try to handle a possibly dangerous situation without assistance from the Security Office.

Procedure for handling bomb threats or other threats

Please review the employee manual for details of recommended procedures for handling threats of any sort received by telephone.

Employees are asked to remain calm and seek to obtain as much detail as possible from the caller. If there is a threat of a bomb or other device, ask where it is located. When will it be discharged? Make notes about any details you detect about the caller: type of voice, accent, age, exact phrasing of the threat.

Immediately notify the Security Office at extension 9111 and inform an officer of the details of the call. Allow the Security Office to coordinate contact with outside responders.

Reporting theft in the workplace

Please notify the Security Office, at extension 9111, of any apparent theft of personal or company property that may have taken place on the premises or parking lots.

The department will coordinate, if necessary, with local police.

If a theft or other loss of company property takes place away from our premises, please contact local police authorities and file a report. After the report is filed, contact the Consolidated Intergalactic Security Office so that they can follow up.

Policy banning weapons in workplace

It is against company rules to bring a weapon of any type into the building or parking lot. Violation of this rule may result in immediate termination from employment.

If you are aware of the presence of any weapons on company property please immediately notify the Security Office at extension 9111. Do not attempt to confiscate the weapons or confront any person by yourself.

Policy banning possession of drugs or alcohol in workplace

Consolidated Intergalactic has a zero-tolerance policy regarding the possession, use, or sale of alcohol or illegal drugs anywhere on company property. Violation of this rule is cause for immediate termination from employment.

If you are aware of the presence of alcohol or illegal drugs on company property, please immediately notify the Security Office at extension 9111. Do not attempt to confiscate the material or confront any person by yourself.

Any employee who requires medication during the work day must keep the prescription in its original packaging with the name of the pharmacy or doctor indicated.

Outsourcing of parking lot and shuttle bus security staff

Effective June 1, the guards who patrol the parking lot and staff the security gate at the entrance to the Lumbertown headquarters will be provided by a private security company. The same company will also operate the shuttle bus that travels from our main parking area to the satellite lot on West Main Street.

We are making this change to comply with new state regulations mandating the licensure and insurance requirements for Security Offices that extend beyond private property onto public roads and land.

There will be no changes within the offices and manufacturing facilities of Consolidated Intergalactic in Lumbertown. We will maintain our own security force, and we anticipate no changes in the staffing levels of full-time employees in that department.
